Service Terms

Mailbox, scanning, forwarding, and retention terms.

Compliance required

Clients must complete required CMRA onboarding, including USPS Form 1583 and identification review, before mail services may be activated. 100 Acre Mail may suspend or refuse service until requirements are satisfied.

Plans, billing, cancellation, and refunds

Plan features, package limits, scan allowances, storage rules, and pricing may vary by Bronze, Silver, and Gold tiers. Promotional prices may be limited-time offers. Payment status may affect mail access, forwarding, scanning, and portal availability.

  • Month-to-month service may be cancelled for the next billing period; partial-month refunds are not guaranteed.
  • Quarterly and annual plans are billed in advance. Refund or prorating requests are reviewed case-by-case and may exclude used service time, setup work, postage, storage, handling, payment processing, and compliance costs.
  • Failed payments may pause scanning, forwarding, pickup release, or portal access until the account is brought current.
  • Accounts that remain unpaid or unverified may be closed, suspended, or treated as abandoned according to the account closure and abandoned mail sections below.

Mail scanning and portal access

When scans are provided, they may appear in the client portal as private PDF or image files. Clients are responsible for reviewing mail actions carefully before requesting forwarding, shredding, recycling, pickup, or archive/delete actions.

Retention, archive, and final deletion

Client archive/delete actions may hide items from the client portal first. Authorized staff may reinstate an item if archived in error, or finalize deletion of stored PDFs/files while retaining necessary records and audit history.

  • Visible mail scans are intended to remain available while the account is active and in good standing, unless archived/deleted by the client or staff.
  • Archived portal scans may be retained for up to 90 days for error recovery, dispute handling, and audit review before final deletion, unless a longer hold is needed.
  • After account closure, portal access and file visibility may be disabled immediately; operational records may be retained for up to 7 years where needed for tax, legal, fraud prevention, compliance, or dispute reasons.
  • Final PDF deletion removes the stored file, but the mail item record and audit event may remain.

Forwarding, pickup, storage, and abandoned mail

Forwarding may require current payment status, valid forwarding instructions, and payment of postage or handling charges where applicable. Items held beyond stated plan allowances or complimentary storage periods may be subject to storage fees or account review.

  • Complimentary storage is limited by plan terms and posted service rules. Current public plan language references a 4-business-day complimentary storage window unless otherwise agreed in writing.
  • Items held beyond plan limits may incur storage, handling, forwarding, return, disposal, or account review fees.
  • Mail or packages may be treated as abandoned if an account is closed, unpaid, unverified, unreachable, or inactive for 30 days after written notice, subject to applicable law and carrier/USPS rules.

Restricted or problematic items

100 Acre Mail may refuse, hold, return, report, or require special handling for restricted, illegal, hazardous, oversized, suspicious, misaddressed, abandoned, or non-compliant items. Certain government documents, checks, IDs, controlled items, or high-risk materials may require additional verification before action.

Account closure and internal onboarding checklist

Closed accounts may lose portal access and mail service privileges. Some business, billing, compliance, audit, and mail records may be retained after closure as needed for legal, regulatory, dispute, fraud prevention, tax, or operational purposes.

Before activation, staff should confirm: payment received, USPS Form 1583 complete, required IDs reviewed, business/entity documents reviewed where applicable, mailbox number assigned, client address format issued, portal login linked, and first login tested.
